This policy explains what personal information we collect through this website, why we collect it, and what we do with it.
Who we are
Keith Mawby Limited, trading as KML Foodservice, is the data controller for information collected through this site. We are registered in England and Wales, company number 02661143, at The Warehouse, Beevor Industrial Estate, Beevor Street, Barnsley, South Yorkshire, S71 1HN.

What we collect and why
If you use our account opening form, we collect your business name, contact name, business type, phone number, email address, business address, and any information you give us about what you currently buy and where you heard about us. We use it to contact you about opening an account and to set that account up.
If you use our contact form, we collect your name, email address, phone number if you give it, and your message. We use it to answer your enquiry.
If you email or ring us, we keep a record of that correspondence so we can deal with it and refer back to it.
Our lawful basis is legitimate interests — responding to enquiries about our products and services — and, once you become a customer, performance of a contract. We don’t use website enquiries for marketing unless you’ve asked us to.
Where your information goes
Form submissions are stored in this website’s database, hosted in the UK by Krystal Hosting Ltd, and emailed to our sales inbox, which runs on Microsoft 365. If you become a customer, your details are also held in our ordering system, provided by Orderlion, and in our accounting records.
We don’t sell your information, and we don’t share it with anyone else except where we’re required to by law.
How long we keep it
Enquiries that don’t lead to an account are kept for up to two years, then deleted. Customer records are kept for as long as you trade with us and for six years afterwards, which is the period we’re required to keep business and tax records.
Your rights
You have the right to ask us for a copy of the personal information we hold about you, to have it corrected if it’s wrong, to have it deleted where we no longer need it, and to object to us processing it. Ring or email us and we’ll deal with it — we have a month to respond.
If you’re not happy with how we’ve handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113. We’d rather you came to us first so we can put it right.
